Understanding the Schedule

Learn how to read the visit schedule, use the tech view to complete stops, and manually add visits when needed.

How Visits Get Generated

Once an invoice is paid for a customer, Scoopify automatically generates all of the visits for the billing period. You don't need to create them manually — they appear on the schedule ready to go.

Each visit card shows everything your team needs at a glance: the customer name, address, number of dogs, type of cleanup, which route they're on, any add-ons, who it's assigned to, and the current status (scheduled, en route, completed, etc.).

The schedule is organized in a week-by-week view so you can easily scroll forward and see what's coming up. Visits are placed on their scheduled day automatically based on the service frequency you set during onboarding.

If you have multiple customers across different routes, you can filter by route or by tech to quickly find what you're looking for. Every visit for every route shows up here in one unified view.

Use the route filter when you have a busy schedule — it lets you focus on one route at a time instead of scrolling through everything.

The Tech View

The Tech View is what your field technicians see when they're out on the job. As an owner-operator, you can access it too — but your employees will only see this view. They cannot access the admin dashboard.

At the top of the tech view you'll see the number of stops for the day, today's date, and a small progress bar. Your employees can clock in and clock out directly from here, and you can export that time data in one click to whatever payroll provider you use.

Gate Codes and Access Notes

Each stop in the tech view displays the gate code and any access notes you've added for the property. This keeps your techs in the loop without needing to call or text you for entry info.

To set these up, go to the property detail page, hit Edit, and scroll down to the gate code and access notes fields. Anything you enter there will show up automatically in the tech view for every visit at that address.

Gate codes and access notes are set on the property, not the visit. Update them once and they apply to every future stop at that address.

Completing a Visit

When your tech arrives at a stop, they tap Mark En Route. If you're on the Pro plan, this automatically sends an SMS to the customer via Twilio letting them know you're on the way. Scoopify rotates through 50+ message templates and inserts the customer's name so every notification feels personal — never robotic.

From the en route screen, the tech can tap Navigate to open directions, see the visit status update in real time, and then tap Complete / Skip to open the detail page.

Completing or Skipping a Stop

  • Mark as Done — Fill out a quick form: select a reason, add notes, and attach a gate photo. The photo and note get sent to the customer so they're always in the loop.
  • Skip — If you need to skip for any reason (locked gate, aggressive dog, etc.), you can select a reason and add notes. The customer is notified.
  • Cancel — Cancels the visit entirely. Use sparingly — a reason is required.

A gate photo is required to complete a visit. It's a best practice that protects your business — proof of service for every single stop.

After the Visit is Completed

Once a visit is marked complete, the tech view updates to show the gate photo, the completed status, and the note that was left. If all stops for the day are finished, the screen shows "All Done" and the employee can clock out.

The day's completed history is listed at the bottom of the tech view — you can tap any visit to review the details again.

Back on the Admin Schedule

When you return to the admin dashboard's schedule view, completed visits show the tech who completed it, the note they left, and the updated status. Gate photos aren't repeated here since one is captured for every visit — but they're always accessible from the visit detail.

Adding a Visit Manually

Sometimes you need to add a visit outside the normal billing cycle — maybe a customer filed a complaint, or you need to send a tech back for a deep clean. Scoopify makes this easy.

Hit Add Visit, search for the customer, pick a date, assign a tech, select the cleanup type (e.g., deep clean), optionally assign a route, and add any special instructions. The visit generates immediately on the schedule, tagged as a manual insertion so you can always tell it apart from auto-generated visits.

Manually added visits are clearly marked on the schedule so you can distinguish them from visits that were auto-generated from a paid invoice.

Wrapping Up

That's the schedule in a nutshell. Visits generate automatically when invoices are paid, techs complete stops through the tech view with gate photos and notes, and you can always add manual visits when the situation calls for it.
